We are seeking a full-time Construction Support Specialist to join our team. The successful candidate will be a reliable, detail-oriented self-starter who will perform administrative support and accounting-related functions for our construction teams. Candidates with Accounting experience (sales tax, invoicing, accounts receivable, etc.) are encouraged to apply. A construction background is highly desirable.
1. Send out billings by calculating Field Work Orders (FWOs) for Project Managers and assembling them in a format given by the Project Manager
2. Subcontract administration
3. Compliance with internal audit controls involving but not limited to proper signatures, approval thresholds, insurance requirements, and segregation of duties
4. Accurate filings of documents by job
5. Compose and prepare routine correspondence
6. Make copies of correspondence or other printed matter for Project Managers
7. Assist Project Managers with special projects, organization, project administration, job set up, preparing & mailing of purchase orders, change orders, billing procedures, rental agreements, MSAs, contracts, and drawings
8. Other administrative duties as assigned in order to support general office operation
9. Manage field groups credit card charges and attach receipts in accounting software
10. Main backup for receptionist's lunches and vacation time
11. Record minutes of staff meetings
12. Oversee and track contractual risk - cost vs. revenue
13. Create and update company forms
14. Answer incoming phone calls in a prompt, polite, professional manner
15. Greet visitors and direct them to the appropriate person
16. Maintain knowledge of basic company information to act as a resource for incoming callers requesting such information
17. Schedule appointments when necessary
Associate's degree (A.A.) or equivalent from two-year college or technical school
Six months to one year related construction experience and/or training or equivalent combination of education and experience

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
